The Literacy Coalition is Hiring

The Literacy Coalition is searching for an experienced, reliable and task-oriented Executive Assistant who will work directly with the CEO and Senior Management and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, positive and capable of multi-tasking and managing their workload, prioritizing tasks in a fast-paced non-profit organization. Responsibilities: Completes a broad variety of administrative tasks for the CEO including:

  • Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging agendas; filing and organizing; and compiling documents for meetings.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Administrative support including filing, photo copying, labeling, taking dictation
  • Provides administrative support to Management Team and Special Events planning as needed.
  • Provides a bridge for smooth communication between the CEO's office and departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Assist with preparation of meetings (Staff, Committee and Board Meetings)
  • Contributes to team effort by accomplishing related results as needed.

Experience/Skills Required:

  • Education: Associate
  • Experience: Supporting C-Level Executives, preferably in a non-profit or: 4 years
  • Familiarity with modern database and information system technologies
  • Advanced in MS Office (Excel, Access, Word, etc.)
  • Strong organizational, project management and problem-solving skills; impeccable multi-tasking abilities; exceptional interpersonal skills
  • Positive, friendly and professional demeanor
