The Literacy Coalition is searching for an experienced, reliable and task-oriented Executive Assistant who will work directly with the CEO and Senior Management and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, positive and capable of multi-tasking and managing their workload, prioritizing tasks in a fast-paced non-profit organization. Submit your resume to Communications@LiteracyPBC.org Responsibilities: Completes a broad variety of administrative tasks for the CEO including: Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging agendas; filing and organizing; and compiling documents for meetings. Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Administrative support including filing, photo copying, labeling, taking dictation Provides administrative support to Management Team and Special Events planning as needed. Provides a bridge for smooth communication between the CEO's office and departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. Assist with preparation of meetings (Staff, Committee and Board Meetings) Contributes to team effort by accomplishing related results as needed.
